Ray Dorsey called the meeting to order with discussion of a GVMA
letter to attract prospective conference attendees. Target groups

Werner Kralick made a motion to vote on the use of the letter as
a promotional tool for GVMA conference. Tim Beale seconded the motion,
and Board Members voted unanimously for using the letter as a promotional
tool. Minor revisions were made to first draft. The letter will
be printed on GVMA letterhead with Directors’ names listed
in the left margin.
Action Item: Jennifer Dubose will update letterhead and add
Board Members.
Action Item: Ray Dorsey will send final version to all Board Members
for distribution.
Brasstown Valley Resort – Lodging
- 134 rooms at $139 per night
- 4 hospitality cottages at $139 per night
- 100 room occupation required; one free room per 50 rooms
- no parking fee
- two bars with billiard tables
- total cost will be invoiced to the DOT, excluding tax
- grand door prize will be on-site golf for two people and possibly
an overnight stay
Meals
- Please refer to meal revisions Ray Dorsey e-mailed to Board Members
December 4, 2002. Brasstown Valley requires all meals must be purchased
from them.
Field Day
- Okay to use equipment on Brasstown grounds
- Georgia Mountain Fairgrounds - $50 per day, two pavilions but
can only seat 75 people
Meeting Arrangements/Equipment
- Tim Murphy and Ray Dorsey will provide A/V equipment
- Exhibitors can set up displays in hallway leading to conference
room
- No charge for tables or electricity
Golf
- On-site at Brasstown
- $65 per person (including door prizes)
- dress code for course includes shirt with collar, no jeans or
cut-offs

*In addition to testing, Doug Jones will have a display, including
a computer for participants to check credit hours earned on the
Department of Agriculture’s Website.
12:00 PM Outside activities: Golf, fishing, train
ride, white-water rafting.
Action Item: Suggestions for outside activities will be listed
on GVMA flyer; cost of activities not included in registration fee.
Board Members discussed a Directors dinner Wednesday evening.

Action Item: Ray Dorsey will confirm 2004 GVMA Conference dates
with Calloway Gardens.
GVMA Best
Management Policies
Jennifer Dubose gave an update on the BMP progress. The BMP section
on the GVMA website will list “Vegetation Management Practices
and Resources,” (mechanical, fire, pruning, wildlife, chemical).
Each topic will provide links to outside resources/websites.
Treasurer’s Report
Dan McMillan reported current balance approximately $7400.00.
Board Members nominated Ray Dorsey, John Raese, and Werner Kralick
to serve as the Audit Committee to review GVMA account records annually.
Ray Dorsey introduced Mr. Gary Rogers to Board Members. A motion
was made and accepted to nominate Mr. Rogers as the new GVMA Secretary.
Mr. Rogers accepted the nomination.
