Board of Director's Meeting

In attendance: Darrell Russell, Tim Beale, Jimmy Etheridge,
Werner Kralick, Jonathan Smith, Doug Jones, Ray Dorsey, Juanita
Hullett, Ricky Dockery, Mark Dennis, Jerry McGukin, John Raese,
Mark Heffley, Dan McMillan
Juanita Hullett was nominated by Ray Dorsey to take David Dixon’s
place on the board. The motion was seconded by Dan McMillan and
the nomination was passed unanimously by the board.
President Russell mentioned that Gary Rogers may not be back in
the state and available to help the board until the end of February.
Whether Beth Murdach will be available or not is not known. Jimmy
Etheridge mentioned that Wanice McLeroy would be available to help
out with the secretarial duties. Duties would be to help get out
mailings for the convention, etc. John Raese also may have someone
that could help out. Jimmy Etheridge confirmed at the end of the
meeting, that he had checked with Wanice and that she would indeed
be available to assist.
Action Item: Darrell to get the final agenda done and emailed to
Jonathan and Mark to get on the website within a week.
Agenda:
Jimmy E. needed to know if a room would be available for the ISA
Arborist exam for the morning of 4/28. President Russell was going
to check on this.
Mark Heffley, who is handling the fishing tournament, at this year’s
conference informed the group of details for that event. Fishing
will be done from 2 person fishing boats with electric motors. Cost
wills $ 30.00 per person. Mark requested someone help him from 12-1
pm with the registration. Registrants for fishing should mention
upon arrival at the Calloway Gate that they are with the GVMA fishing
group when arriving at the site.
Doug Jones will handle the Pesticide Applicator Exam. 15-20 people
normally take the test.
Jerry McGukin discussed details for this year’s golf tournament.
There are two courses at Calloway Gardens, the Lake View course,
which costs $ 75.00, and the Mountain View course which costs $
115.00. Tee times will start at 12:30 pm. The association will need
40 golfers to meet either course’s goal.
President Russell suggested that in the registration there should
be wording that on recreational events there are “no refunds”,
unless weather related.
Jimmy
Etheridge discussed other recreational opportunities at Calloway
such as sporting clays, trap and skeet. Bring your own guns, shells.
Rental prices are high as are shell prices. Mention was made that
we offer that sporting clays are available. It was decided that
in the registration letter, we would mention Calloway Garden’s
website and let the members select these events on their own.
Werner Kralick and Jimmy Etheridge will handle getting mailings
to exhibitors about the conference.
Action
item: Dan McMillan to send Werner and Jimmy copy of past letter
and listing of Exhibitors. Every board member should attempt to
recruit potential exhibitors and get these names to Werner or Jimmy
for the mail-out.
Discussion and changes were made to the actual agenda. (Darrell
noted changes, etc. on his worksheet.)
GVMA
will cover rooms for; Dr. Wayne Guerke, Mark Czanada, Jeff Smith,
Fred Whitford and Dr. John Bird. (5 Rooms)
Done-Action Item: Dan McMillan-Get title for Todd Hartz from
Jimmy Etheridge.
(General Mgr. of System Operations)
Action Item: Jerry McGukin to check to see if Dupont can
make presentation on Spray Technology.
Action Item: Jimmy Etheridge to see if he can get a speaker
to talk in Jody Nelson’s spot on Lidar Technology since Jody
is presenting at the ISA Conference.
Meals:
Breakfast;
Continental- Calloway cost is $ 9.25/person. The Association will
need to arrange for both Thursday and Friday. We will have to give
estimate around by early March.
Dinner (Thursday night). $ 29.75 per person
Action Item: Ray Dorsey, Werner Kralick and Darrell Russell
to look into getting a caterer to serve dinner at the state park.
Action Item: Mark Dennis to check on funeral director from
Eatonton as possible dinner speaker. (This would be in place of
Carlton Layne)
Action Item: President Russell to check with Calloway Gardens
about reserving vans for plot tours.
Break-out sessions-
Ray Dorsey will moderate the DOT Session and John Raese will moderate
the Utility session.
Give-away Items
The Board had a lot of discussion on possible give-away items. It
was decided that the group needs to stay around $ 15.00 per individual.
Darrell will develop a list fitting the cost criteria and(If
a decision will bewas made on the conference call., I missed
it)
Jonathan Smith announced he had taken a job promotion and would
be moving to Raleigh, NC. He announced that he would have to resign
from the board and asked that we save his place on the board for
his replacement.
2005 Conference—Information was presented by Mark Heffley
from two locations at Jekyll Island, the Jekyll Inn and the Clarion.
The Clarion seemed to have the most to offer. In-Coming President
John Raese will make a visit to the site and make a decision on
the dates for the conference.
Member registration and Vendor registrations need to go out by the
3rd week in Feb.
Additions to agenda need to be back to Darrell by next Thursday.
Ray Dorsey made a motion to reduce Vendor fee from $ 350 to $ 325.
The motion was seconded by Jimmy Etheridge and motion was passed
by the Board.
Dan McMillan will handle getting credit hours from SC, AL and FL.
Next board meeting will be a conference call, 1-1 _ hours, Thursday,
Feb. 26th at 10:00 am.
