GVMA Board of Directors Meeting

February 1, 2002

In attendance: Tim Beale, Mark Dennis, David Dixon, Jennifer Dubose, Jimmy Etheridge, Werner Kralick Jr., Dan McMillan, Tim Murphy, John Raese, Darrell Russell, Steve Timmons

Tim Beale opened the meeting with discussion of 2002 GVMA Annual Meeting in Savannah.

Agenda
Beale reported Anthony James, President of Savannah Electric, will give the Welcome address.
Sponsor names will be included on Agenda handouts at meeting.

Breaks/Meals
Tim Beale reported finalizing breakfast plans with hotel; $17 per person for buffet.
Mark Dennis reported GRESCO Capstone will sponsor/provide drinks for breaks and field tour.
Trees, Inc. will cook hotdogs and burgers at Plant McIntosh; GVMA will purchase burgers, hotdogs, etc.
Tim Beale reported Savannah Electric will sponsor Low Country Boil Dinner at $15 per person.
$600 estimated rental fee for tables and chairs for Low Country Boil Dinner.
Board will wait until the week of the meeting to decide on renting a tent.

Buses
Tim Beale reported depositing $400 to reserve buses. The remaining balance of $605.80 is due April 1, 2002.
John Raese reported GTC will donate $500 to bus expense.
Buses are due back at 4:30 PM

Field Tour
GVMA will need to provide portable restroom.
Tim Beale will bring signs and mow walking paths.
Attendees will divide into two groups; one hour for test plots and one hour for equipment.
Werner Kralick and Steve Timmons will be group leaders; Tim Murphy will discuss test plots.

A/V Equipment
· Tim Murphy will provide overhead projector, slide carousel, and PC.
· Regency Hyatt will provide projector screen and microphones, speakers, etc.
· Tim Murphy will need a roll cart for A/V equipment.

Speakers
Board Members will follow up with speakers concerning conference agenda, honorarium fees, and hotel accommodations.

Board Members voted to give $100 AMEX certificates as speaker gifts.

Vendors/Sponsors
Jennifer Dubose and Dan McMillan agreed to contact by letter potential vendors/sponsors for conference.

Board Members discussed possible locations for the 2003 Conference:

Calloway Gardens
Columbus Iron Works
Brasstown Valley
Augusta River Walk
Athens

Locations will be listed on Conference Evaluation Form for attendees to vote/rank personal preference in order from 1 – 5.

Jennifer Dubose reported the website is now up and running. Jennifer requested that Board Members review site and e-mail her suggestions or changes. Jennifer also asked Board Members to send bios.
David Dixon will take pictures at conference to post on website.

2003 GVMA Officers

A motion was made and seconded to nominate the following Board Members as officers in 2003:
