GVMA Board of Director's Meeting
December 17, 2004

In attendance: Mark Dennis, Ricky Dockery, Ray Dorsey, Mark Heffley, Doug Jones, Werner Kralick, Jerry McGukin, Tim Murphy, John Raese, Darrell Russell, Steve Stewart, William White, Gary Youngblood

Mark Heffley discussed shirt order for attendees (sizes and quantity) with Board Members. 2005 shirt order will be made after reviewing most recent order from Blade Sportswear.

John Raese reported that a meeting will be arranged in February to present the $1200 donation check to the nature preserve sponsoring the field tour. Bus fees have been paid, and the buses will be available until 9:00 AM to transport people to field tour site. 

John Raese reported rooms reserved for conference testing will be available at 7:00 AM , Wednesday morning.

Board Member Duties for 2005 Conference
Mark Heffley gave Board Members a list of assignments.

Discussion Highlights:

• All members will contribute door prizes/gifts; grand prize is 2-night stay at hotel
• All members will ask vendors to donate larger prizes (chainsaw, Home Depot, Lowes, and AMEX gift cards)
• Darrell Russell's support person at DOW will send flyer by January 15, 2005
• John Raese will ask an island official to assist Ricky Dockery at information table during registration to provide general information
• John Raese will get room layout of hotel to decide meeting locations
• Board Dinner will be at 7:00 PM
• Ray Dorsey reported DOT will provide vans for transportation to breakout session location
• Doug Jones will coordinate Pesticide testing
• Mark Heffley reported the hotel confirmed the spouses' program

Vendor Letter

Dan McMillan and Werner Kralick will send vendor letter.

• 30 table limit for vendors at conference
• $325 fee includes indoor/outdoor exhibit, one registration, logo on GVMA website for one year

2005 Conference Registration

• Doug Jones and Darrell Russell will provide mailing labels for flyer
• Naomi Toole (GTC) and Beth Murdock(?) will work registration table, beginning 3:00 – 6:00 PM on Wednesday
• Mark Heffley will get final cost/procedures for on-line registration
• Mark Heffley will check with website designer regarding an electronic flyer that includes photos and information from the GVMA website
• Board Members discussed having a registration and cancellation/refund deadline
• Doug Jones will coordinate Department of Agriculture booth at conference to offer general information to attendees

2005 Conference Speakers/Agenda

• Ray Dorsey will check with Paul Northcutt (independent trainer) as possible keynote speaker (Importance of Training)

• Darrell Russell will contact RISE for a possible keynote speaker

• Tim Murphy will resend information to Board Members on Don Gardner (Urban Tree Management)
• Mark Dennis confirmed Langdale representative to speak on treating CCA poles
• Steve Stewart will coordinate a Georgia Power representative to speak on transmission vegetation management
• Jerry McGukin will contact Gueth Braddock to speak on Limb/Regrowth Study

John Raese will conduct a conference call with Board Members on January 18 at 9:00 AM to confirm conference agenda and speakers.

New Board Members

John Raese discussed necessity of recruiting new Board Members after 2005 conference to fill vacancies.

Board Members will send names of possible candidates to John Raese.
